If you're a SYSPRO customer, you've probably already had the email. If you haven't, you will soon — and it's worth reading closely.

SYSPRO has formally notified customers that it's discontinuing its Initial License Fee and Annual License Fee model entirely. Going forward, the only way to run SYSPRO is on a named-user subscription. This isn't a gentle nudge or a "recommended upgrade path." For customers outside the US, existing licenses expire on 31 October 2026. For US customers, it's 31 December 2026. If your agreement has no fixed end date, SYSPRO's notice serves as formal termination of it, effective on those same dates.

After that date, there's no fallback. No subscription, no access to SYSPRO — full stop. If you paid an Initial License Fee when you first came on board, that fee doesn't carry forward as any kind of ongoing right to use the software past your expiry date.

Why this matters even if you're not a SYSPRO customer

This is part of a much bigger pattern playing out across the ERP and enterprise software world right now. Vendors that built their business on perpetual, one-time licenses are under pressure to convert that revenue into predictable, recurring subscription income — and they're using contract mechanics, not just pricing, to get there. We've seen versions of this from other major software vendors over the past two years, some far more aggressive than SYSPRO's approach.

The pattern is consistent: a fixed cutoff date, a technical "termination" of your existing agreement even if it was open-ended, and a new subscription as the only way forward. If you run any on-premise, perpetually-licensed enterprise software today, it's worth asking your vendor directly whether something similar is coming for you.

What SYSPRO customers should be doing right now

  1. Confirm your exact expiry date. It depends on where you're based and what's in your current agreement — don't assume.

  2. Get the new subscription pricing in writing before your renewal window closes. Understand what you'll actually pay per user, what's included, and whether pricing is locked in or subject to future increases.

  3. Ask about contract length. Longer commitment terms can come with better rates, but they also reduce your flexibility to move later if the platform, pricing, or your business needs change.

  4. Plan your data export now if you're not staying. SYSPRO says you have the right to export your data on cessation of your license, but that's a process you want to kick off with time to spare, not in the final weeks.

  5. Don't wait until October to decide. A platform migration — even a well-planned one — takes real time to scope, budget, and execute properly.
